Meetings of the Association
MEETINGS OF THE ASSOCIATION ACCORDING TO THE CONSTITUITION AND BY-LAWS
MONTHLY GENERAL MEETINGS
General Meetings of the Association shall be held on every first week of each month. The
medium shall be zoom till further notice.
The agenda of each meeting shall include but not be limited to:
▪ Welcoming of new members and reminder of the objectives of the association.
▪ Explanation of house rules and meeting etiquette.
▪ HSE topic of the day.
▪ Question and answer session.
▪ Miscellaneous topics and announcements.
The presenter for each meeting shall be internal or external and the subject and content must be reviewed and approved by the executive at least a week prior to each meeting. The host should connect at least 10 minutes prior to the meeting starting time

ANNUAL GENERAL MEETINGS
The midyear general meeting shall be held in the month of July every year to review the
performance of the first 6 months of the year.
The Annual General Meeting of the Association shall be held in January of every year to:
▪ Elect officers as needed.
▪ Receive and consider the audited income and expenditure accounts and the balance sheet for the financial year (1 January – 31 December).
▪ Receive and consider the annual results and reports of the Association. ▪ Appoint the auditor if required

VOTING
▪ At all meetings of members, every member present in person shall be entitled to that
number of votes as set out in clause 10.3.

▪ Motions put to such meeting shall be decided by a simple majority of votes. Voting shall be through a transparent and credible electronic system allowing for remote voting to maximize participation.
